The Executive Committee meets regularly in coordination with school representatives to determine how we can best serve the school. The Executive Committee consists of the President, Vice President, Secretary, Treasurer, and Historian.
President: Plans and oversees all activities within the Parents Association. Communicates with Administration. Attends School Council meetings. Oversees, communicates, and works with Committee Chairs.
Vice President: Assist the PA President as directed. Fills the roll if the President is unable to attend a meeting or an event.
Secretary: Takes minutes at meetings. Provides minutes to School Administration for approval. Shares upcoming plans and information with the Parents Association General Members. Communicates with SJB team to market and promote all events.
Treasurer: Oversees plans for handling money at events. Works with the school Business Manager to make sure information aligns. Records detailed information on all purchases and expenditures. Reports financial data to School Administration.
Historian: Takes photographs of all event set ups and keeps detailed descriptions so that they can be recreated in the future. Takes pictures at events for use in Berchmans Blast, school website, school Facebook and/or Instagram page, and more.
Additional roles and committees of the Parents Association:
Room Parent: Works in conjunction with the home room teacher to facilitate class parties, field trips, volunteers, donations, and other activities. Room Parents can be mothers or fathers. Each class will have a designated Room Parent Class Account (RPCA) that they can utilize to make purchases on behalf of their class upon approval from the PA President and/or Principal.
Sponsorship Committee: The Sponsorship Committee will work together to solicit sponsorships and donations. They will maintain the Master Sponsorship List which includes company/family name, contact person, and donation amount. This Committee will come up with additional ways to recognize sponsors throughout the year.
Monster Mash Committee: The Monster Mash (MM) Committee will plan the theme and activities at Monster Mash. They will also oversee the execution of ticket sales, t-shirt sales, games, food, volunteers, and more.
Spring Auction Committee: The Spring Auction Committee will plan the theme and activities of the Spring Auction. They will also oversee the execution of ticket sales and secure items for auction. They will work together to determine vendors to use for food, entertainment, venue, etc.
Pancakes with St. Nicholas Committee: The Pancakes with St. Nicholas Committee will oversee the planning and execution of the event including the arts and crafts projects, breakfast items, volunteers, entertainment, etc.
Teacher Appreciation Week Committee: The Teacher Appreciation Week (TAW) Committee will work together to determine a theme for the week. They will create daily plans, determine gifts and goodies, and oversee volunteers.
King Cake Committee: The King Cake Committee will work with a local business to determine a timeframe for king cake sales. They will spread the word on the fundraiser and facilitiate king cake distribution to families.
Hospitality Committee: The Hospitality Committee will help with functions including Grandparents Day, the Veteran’s Day Program, Open House, Spring Sing, and others as designated by the Principal and/or PA President. This Committee will help set up and break down the events, provide refreshments, and serve as a welcoming presence.
